How To Prepare And Post Your Open Call

Preparing your project information before building your call wil make the process faster and help you attract applicants who better match your requirements.

1. Before creating your call, gather the following:

Project Basics

  • Project title
  • Organization name
  • Short project summary
  • Installation location
  • Site type: indoor, outdoor, temporary, permanent, etc.
  • Primary project contact and email

Budget & Timeline

  • Minimum and maximum project budget
  • Application open date
  • Application deadline
  • Estimated dates for:
    • Semi-finalist notifications
    • Artist selection
    • Installation
    • Artwork opening

Including a realistic budget range helps attract artists with experience at the appropriate project level.

Artwork Information

Prepare as much detail as possible about:

  • Type of artwork requested
  • Preferred materials or mediums
  • Project goals or themes
  • Relevant keywords
  • Site requirements or limitations
  • Installation considerations

Eligibility

Determine any:

  • Geographic restrictions
  • Experience requirements
  • Diversity, cultural, or community-specific qualifications
  • Reference requirements
  • Ineligibility rules

Supporting Materials

Gather useful resources such as:

  • Site images
  • Architectural drawings
  • Renderings
  • Maps
  • Website or video links

2. Determine Your Application Requirements:

Before publishing, decide what artists need to submit.

CODAworx applications can include:

  • Resume or CV
  • Cover letter or letter of interest
  • Work samples
  • Custom screening questions

For each eligibility requirement, consider whether you should create a matching screening question.

For example, if artists must have experience working on projects above a certain budget, use a screening question to confirm that experience instead of relying only on the project description.

Possible screening questions can cover:

  • Geographic eligibility
  • Years of experience
  • Previous project budgets
  • Required qualifications
  • References
  • Cultural or community-specific requirements
  • Disqualifying criteria

3. Create Your Open Call in CODAworx:
  1. Log in to CODAworx.
  2. Click your profile icon.
  3. Select CODAcommission Dashboard.
  4. Click Post a New Call.

The form defaults to Artist Call. Leave this selected when commissioning artwork. Select Industry Call if you are searching for fabrication or manufacturing partners.

You can use Save and Continue throughout the process to save your progress.

Project Overview

Enter your:

  • Project title
  • Minimum and maximum artwork budget
  • Commissioning organization
  • Project location
  • Geographic eligibility
  • Application deadline
  • Relevant keyword tags

Keywords help CODAworx match your call with artists whose specialties align with the project.

You will also choose whether your call is:

Public: Listed in CODAworx's Open Calls Directory and discoverable by artists.

Private: Available only to artists who receive your direct application link.

4. Add Your Project Brief and Resources:

Your Project Brief should give artists the information they need to understand the opportunity, including the project background, goals, timeline, site, and artistic requirements.

The Project Brief has a maximum of 4,000 characters. You can format the text using the built-in editor or paste formatted text from Word or Google Docs.

Use Resources and Documents for supporting materials such as:

  • RFQs
  • Site plans
  • Renderings
  • Images
  • Videos
  • Additional project documents

Commission documents must be PDFs up to 30 MB, and you can add up to six supporting images.

5. Choose Your Application Setup:

 

CODAworx offers two primary application options.

Free Standard Application

Includes:

  • Artist portfolio information
  • Resume
  • Letter of interest
  • Up to 3 work samples

CODAworx Toolkit

Includes:

  • Up to 10 work samples
  • Custom screening questions
  • Round-based jury voting tools

The Toolkit is useful when you need additional work samples, more specific applicant screening, or a structured multi-round selection process.

Important: Your Toolkit tier and certain application settings become locked after the first artist submits. Make sure your work sample requirements and screening questions are finalized before applications begin.

Walk through creating the call, completing the project overview and brief, choosing the application type, setting work sample requirements and screening questions, and publishing.

6. Preview and Publish:

Before publishing, review your call carefully.

You can choose:

  • Preview: See what artists will see before publishing.
  • Save as Draft: Save your progress and return later.
  • Publish: Make the call live or schedule it for your selected opening date.

Once your first application is submitted, certain fields—such as the number of work samples and screening questions—can no longer be changed.

Once published, manage your call from the CODAcommission Dashboard.
