Set Up & Manage Your Jury

Invite jurors, configure scoring, and manage applicant voting across one or more selection rounds.

Before You Begin

The jury workflow is available through the CODAworx Toolkit.

Before setting up voting:

  • Publish and complete your Open Call
  • Allow the application window to close
  • Review your applicant pool
  • Archive applicants who shouldn't enter jurying

CODAworx's current workflow requires the call to be closed before completing the standard jury process.

Build Your Jury Pool

First, add everyone who may participate in the selection process.

  1. Open the CODAcommission Dashboard.
  2. Select your call.
  3. Open Selection Process.
  4. Search for the juror using the exact email address associated with their CODAworx account.
  5. Add the juror to your Jury Pool.

If the person doesn't have a CODAworx account, you can provide their name and email so they can be invited to create one.

Important: Jurors need to sign in using the same email address that received the invitation.

Adding someone to the overall Jury Pool does not automatically give them access to a voting round.

Configure a Voting Round

CODAworx jurying is organized by round.

On the Selection Process page:

  1. Locate the active round.
  2. Open its three-dot menu.
  3. Select Edit Round.
  4. Give the round a clear name.
  5. Choose the appropriate round type.
  6. Set the scoring method.

Voting Round

Use a Voting Round when narrowing a larger applicant pool.

Final Round

Use a Final Round when you're ready to determine finalists or the preferred candidate. Final rounds also support notifications associated with advancing and non-advancing artists.

Choose a Scoring Method

CODAworx currently offers three approaches.

Yes / No

  • Yes = 1 point
  • No = 0 points

Use this for straightforward qualification or preference decisions.

Yes / No / Maybe

  • Yes = 2 points
  • Maybe = 1 point
  • No = 0 points

This gives jurors an additional middle option.

Weighted Criteria

Create up to 10 custom scoring categories and assign a percentage to each.

All category weights must total 100%.

This option is useful when applicants need to be evaluated across several defined criteria.

Assign Jurors to the Round

Adding a person to your Jury Pool isn't enough.

Jurors must be assigned to each individual round in which they should vote.

To assign them:

  1. Open the appropriate round.
  2. Select Edit Round.
  3. Find the Committee Members/Jury Pool section.
  4. Select each juror who should participate.
  5. Save the round.

Repeat this process whenever you create a new round.

A juror who isn't selected for a round won't be able to vote in that round.

Share the Voting Round

Once the round is configured:

  1. Select View Round.
  2. Click Share Voting Link.

You can then either:

  • Copy Link and send it yourself, or
  • Email via CODAworx to eligible jurors assigned to the round

If using CODAworx email, remind jurors to check their spam or junk folders if they don't see the invitation.

Monitor Voting

Give jurors enough time to review all applicants assigned to the round.

Before closing a round, confirm that participating jurors have completed their voting whenever possible.

CODAworx allows a commissioner to continue even if voting isn't complete, but this can create misleading totals if a juror scored only some applicants.

Create Additional Rounds

After reviewing the results, advance the selected applicants into the next stage and configure another round as needed.

Remember:

  • Each round can have its own settings
  • Jurors must be assigned again for each new round
  • Different rounds can use different jury members
  • Use a Final Round when you're reaching the final selection stage
